Privacy Notice – Online Workshops

This privacy notice tells you about the information we collect from you when you book and attend an online workshop event. In collecting this information, we are acting as a data controller and, by law, we are required to provide you with information about us, about why and how we use your data, and about the rights you have over your data.

What personal data do we collect?

When you purchase a workshop from us online, we ask you for your name, address, contact telephone number, email address and credit card information.


Why do we collect this information?

We will use your information to verify your credit card details for your purchase, process your order and to enroll you on the workshop or course. We will also send you a receipt via email and we may use your telephone number to contact you regarding your upcoming workshop.

We require this information in order to process your payment, enroll you to the workshop and fulfil our contract with you.


What do we do with your information?

Your information is stored in our order processing system which is based with the UK and the European Union.

Your credit card details are passed to a third-party payment processor which is based in the UK and the EU. We do not store any card details on our servers.

Your name and email address is passed to Zoom via a service called Apiant. These services are based in the United States. We have carried out risk assessments on all data transfers.

We exclude certain geographical areas so Zoom meeting data is only stored in the EU and the US locations.

Workshop recordings are stored in AWS’s London server location.

We do not use the information you provide to make any automated decisions that might affect you.


Recording the workshop

We record workshops for the benefit of those who cannot attend the live workshop. Therefore we request that you do not reveal any personal information in the public workshop. We only record whoever is speaking, so if you ask a question, you will be shown in the recording. Your full name will not be revealed. Chat files will not be shared with those who purchase the recording at a later date.


How long do we keep your information for?

By law we are required to keep certain data such as your name, address, order history for seven years to fulfil tax obligations. If your account is not access for two years, we will deactivate your account and store a reduced amount of data for you.

Recordings will be kept for up to ten years.


Your rights over your information

By law, you can ask us what information we hold about you, and you can ask us to correct it if it is inaccurate.

You can also ask us to give you a copy of the information and to stop using your information for a period of time if you believe we are not doing so lawfully.
